20 AI Prompts for Your Cleaning Business: Free Copy-Paste Kit (2026)
These are 20 prompts you can copy, fill in and paste into any AI chat tool. Each one has a line telling you when to use it, and every part in [BRACKETS] is where your own details go. Want the why behind each use? Read the full guide: How to use AI in your cleaning business.
How do I use these AI prompts for my cleaning business?
Copy a prompt, replace every [BRACKET] with your details, paste it into ChatGPT, Gemini, Claude or Copilot, and check the answer before you send it.
Three habits make the answers better:
- Give real details. The more specific your brackets, the less the AI has to guess.
- Ask for changes. If the answer is too long or too formal, reply "shorter" or "friendlier". You do not need to start over.
- Save your winners. Keep the prompts that work in a note on your phone, already filled in with your business name and prices.
What should I never paste into a public AI tool?
Never paste client names, addresses, phones, door or alarm codes, card numbers or crew documents. Write Client A and check every price yourself.
Rules for every prompt on this page:
- Use "Client A" or a first name only. Leave out the street address, phone, email, gate code and key location.
- Never paste card numbers, bank details, Social Security numbers, IDs or immigration documents of your crew.
- AI can be confidently wrong. Check every price, fee, tax and legal rule yourself before you send or publish anything.
- Read every answer before it goes to a client. You sign it, not the AI.
Questions about your own jobs, clients and invoices do not need a public AI tool at all. Inside WeCazza, the assistant button on every screen already knows your schedule, clients and invoices, answers in English, Spanish or Portuguese, and keeps each company's data separate. So you ask "What jobs do I have tomorrow?" there, without pasting client data anywhere else.
How can AI help me write a cleaning quote or estimate?
AI turns your own prices and job details into a clear, friendly quote message in seconds. You set the price; the AI only writes the words around it.
1. Quote message for a house cleaning
When to use: after a walkthrough or phone call, when you already know the price.
You are helping me, the owner of [BUSINESS NAME], a house cleaning company in [CITY, STATE]. Write a short, friendly quote message to a new client. Job: [TYPE: standard / deep clean / move-out], [BEDROOMS] bedrooms, [BATHROOMS] bathrooms, about [SQUARE FEET] sq ft, [FREQUENCY]. My price: [PRICE] per visit. Included: [WHAT IS INCLUDED]. Not included: [WHAT IS NOT INCLUDED]. Quote valid until [DATE]. Ask them to reply to book. Under 120 words, no pressure, no emojis. Do not change my price or add services.
2. Scope of work for a written estimate
When to use: an office, move-out or post-construction client asks for a written estimate with the scope spelled out.
Write the scope section of a cleaning estimate for a [CLIENT TYPE: office / move-out / post-construction] job in a [SIZE] space. Tasks the client asked for: [LIST]. Visits: [FREQUENCY AND DAYS]. Supplies provided by: [US / CLIENT]. Turn this into clear line items with one short description each. Do not add prices; I will add them myself. End with 3 questions I should ask the client to confirm the scope.
How do I reply to cleaning reviews with AI, good and bad?
Paste the review without the client's last name, say what really happened, and ask for a short, calm reply. Never let AI invent facts or promises.
3. Thank-you reply to a 5-star review
When to use: the same day a happy client leaves a review.
Write a reply to this 5-star Google review for my cleaning company [BUSINESS NAME]: "[PASTE REVIEW, WITHOUT LAST NAME]". Thank them by first name only, mention one specific thing from the review and invite them back. 2 to 3 sentences, warm, not salesy, no emojis.
4. Calm reply to a 1 to 3 star review
When to use: a client left a low rating and you want to answer without getting defensive.
Help me reply to this [1 / 2 / 3]-star review: "[PASTE REVIEW, WITHOUT LAST NAME]". What actually happened: [YOUR SIDE IN 2 TO 3 LINES]. What I am willing to offer: [RE-CLEAN / A CALL / NOTHING]. Write a short public reply that thanks them, owns what we did wrong, does not argue, does not share private details and invites them to contact me at [BUSINESS PHONE OR EMAIL]. Under 80 words. Do not promise anything I did not list.
5. Reply to a review you think is unfair
When to use: you cannot find the reviewer in your records, or the facts in the review are wrong.
A review on my cleaning business page says: "[PASTE REVIEW]". I cannot find this person in my records [OR: the facts are wrong because ...]. Write a calm, professional public reply that says we take feedback seriously, that we could not find this visit, and asks them to contact us at [CONTACT] so we can look into it. No accusations. Under 60 words.
How can AI help me message and translate for my crew?
AI translates client notes into Spanish or Portuguese for your crew and turns their replies into English. Keep it short and confirm key details.
6. Translate a client's instructions for the crew
When to use: a client sends special instructions in English and your crew reads Spanish or Portuguese better.
Translate these cleaning instructions into simple [Spanish / Brazilian Portuguese] for my cleaning crew. Keep each instruction as a short bullet. Keep room names and product names clear. If anything is unclear, list it at the end as a question for me. Instructions: "[PASTE NOTE, WITHOUT NAMES, ADDRESS OR CODES]".
7. Team message in three languages
When to use: you need to tell the whole team about a new rule, a holiday schedule or a reminder.
Write a short team message for my cleaners about: [TOPIC: new supply rule / holiday schedule / uniform reminder]. Details: [DETAILS]. Give me 3 versions: English, Spanish and Brazilian Portuguese. Friendly and clear, under 60 words each, no slang.
8. Turn a crew report into a text for the client
When to use: your cleaner reports something (a broken item, a locked room) and you need to tell the client in English.
My cleaner wrote this in [Spanish / Portuguese]: "[PASTE MESSAGE]". First translate it to English so I understand it exactly. Then write a polite, short text to the client explaining the situation and the next step: [NEXT STEP]. Do not admit fault or promise payment unless I said so.
If you already use WeCazza, its checklist assistant builds a job's task list from the service type and a short request, and you review it before saving.
Free-text messages are where AI translation helps most. The job itself is another story: in WeCazza every screen is in English, Spanish and Portuguese, so each person on the crew sees the schedule and job details in the language they chose.
How do I make a cleaning checklist by job type with AI?
Tell the AI the job type, home size and what the client pays for. It returns a room-by-room checklist you can edit, print or share with your crew.
9. Checklist by job type
When to use: training a new helper, or agreeing on the scope with a client.
Create a room-by-room cleaning checklist for a [JOB TYPE: standard recurring / deep clean / move-in move-out / post-construction] in a [BEDROOMS]-bed, [BATHROOMS]-bath home. Include: [EXTRAS: inside oven, inside fridge, baseboards, windows]. Exclude: [EXCLUSIONS]. Use checkboxes, group by room and order the work from top to bottom. Then give me the same list in [Spanish / Brazilian Portuguese].
10. Short-term rental turnover checklist
When to use: you clean Airbnb or vacation rentals between guests.
Make a turnover checklist for a short-term rental with [BEDROOMS] bedrooms and [BATHROOMS] bathrooms. Host rules: [LINEN CHANGE, RESTOCK LIST, PHOTOS REQUIRED, CHECKOUT AND CHECK-IN TIMES]. Add a "report to host" section for damage, missing items and low supplies. Keep it to one page.
How do I write a cancellation and late policy with AI?
Give the AI your notice window, fees and lockout rule. It drafts a clear policy in plain words. Check it against your state rules before publishing.
11. Cancellation and lockout policy
When to use: writing or updating the policy for your website and booking confirmations.
Write a cancellation and rescheduling policy for my cleaning company. Notice needed: [24 / 48] hours. Late cancellation fee: [AMOUNT OR PERCENT]. Lockout fee (we arrive and cannot get in): [AMOUNT]. Deposit: [YES OR NO, AMOUNT]. Exceptions: [EMERGENCIES, WEATHER]. Plain English, short paragraphs, friendly but firm. Add one sentence clients agree to when they book.
12. Running late message
When to use: your crew will arrive late and the client needs to know now.
Write a short text to a client: our crew is running about [MINUTES] minutes late because of [REASON]. New arrival window: [TIME]. Apologize once, give the new time and offer [OPTION: keep the visit / reschedule]. Under 50 words.
The fees are your decision. If you are not sure a fee is allowed where you work, ask a local attorney or your state consumer agency before you publish the policy.
What social media posts can AI plan for my cleaning business?
AI can plan a month of posts: tips, before and after photos, team stories and seasonal offers. You add real photos, with the client's permission.
13. 30-day post calendar
When to use: at the start of the month, when you have no idea what to post.
Plan 30 days of social media posts for [BUSINESS NAME], a [RESIDENTIAL / COMMERCIAL / AIRBNB] cleaning company in [CITY]. My clients are mostly [CLIENT TYPE]. Mix: cleaning tips, before and after, meet the team, client reviews (I will paste real ones), and offers for [MONTH OR HOLIDAY]. For each day give: format (photo, carousel or short video), a one-line idea and a caption under 40 words. Do not invent reviews, prices or results.
14. Before and after caption
When to use: you have a good before and after photo and need words for it.
Write 3 caption options for a before and after photo of a [ROOM] after a [JOB TYPE]. What we did: [TASKS]. Tone: [FRIENDLY / PROFESSIONAL]. End with a call to book at [LINK OR PHONE]. Under 40 words each, 3 hashtags max.
Only post photos of a client's home with their permission, and never show house numbers, mail, family photos or anything that identifies the address.
How do I write a job ad to hire cleaners with AI?
Give the AI your pay range, schedule, area and requirements. It writes a clear job ad and interview questions in English, Spanish or Portuguese.
15. Job ad in three languages

Write a job ad for a [POSITION: house cleaner / team lead] at [BUSINESS NAME] in [AREA]. Pay: [PAY RANGE]. Schedule: [DAYS AND HOURS]. Requirements: [DRIVER'S LICENSE, OWN CAR, EXPERIENCE]. Why people like working with us: [YOUR REAL REASONS]. Under 150 words. Then translate it into Spanish and Brazilian Portuguese. Do not mention age, gender, religion, nationality or anything not related to the job.
16. Interview questions
When to use: before an interview, so you ask everyone the same questions.
Give me 8 interview questions for a [POSITION] at a cleaning company, focused on reliability, attention to detail, teamwork and handling a client complaint. For each one, describe what a good answer sounds like. Only questions about the job.
How do I follow up with cleaning customers using AI?
Use AI for short follow-ups: a quote reminder after two days, a thank-you after the first clean and a win-back note for clients who stopped booking.
17. Follow-up on a quote with no answer
When to use: two or three days after you sent a quote and heard nothing.
A potential client got my quote for a [JOB TYPE] [NUMBER] days ago and has not answered. Write a short, friendly follow-up text that reminds them of the quote, answers one common doubt ([DOUBT: price / trust / supplies]) and offers these dates: [DATE OPTIONS]. Under 60 words, no pressure.
18. Win back a client who stopped booking
When to use: a client has not booked in a few months and you have open slots.
Write a message to a client who has not booked in [NUMBER] months. We miss them, and here is what is new: [NEWS: new service / new team member / open slots on DAYS]. Offer: [OFFER OR NONE]. Under 70 words, warm, easy to answer with a yes.
Late payments need follow-up too. In WeCazza, the collections plan on the receivables card ranks overdue invoices by priority and suggests a reminder message. It sends nothing by itself: you read it, adjust it and send it.
How do I answer a difficult cleaning client with AI?
Describe the situation in plain words and ask for a calm, firm reply that keeps your price and policy. Read it twice and send only what you would say.
19. Client asks for a discount
When to use: a recurring client asks you to lower the price.
A client asks for a lower price on their [FREQUENCY] cleaning. Current price: [PRICE]. What I can offer instead: [OPTION: fewer rooms / every other week / no discount]. Write a polite reply that explains the value, keeps my price and offers the option. Under 80 words.
20. Client says you missed a spot
When to use: a client complains that part of the job was not done.
A client says we missed [AREA OR TASK] in yesterday's cleaning. Our checklist shows [WHAT HAPPENED]. Write a reply that thanks them for telling us, does not argue and offers [RE-CLEAN WITHIN 24 TO 48 HOURS / A CREDIT]. Under 70 words. If the facts are unclear, stay neutral and invite a quick call.
Where do these prompts fit next to my scheduling software?
AI writes the words. Your scheduling software runs the work: calendar, recurring jobs, crew, invoices and payments. Use both, each for its own job.
The prompts above save you time on writing. The day-to-day operation still needs one place for the schedule. In WeCazza that means recurring jobs, team assignments the app suggests and you approve, route suggestions on every plan, estimates and invoices that sync both ways with QuickBooks, and card payments (Stripe fee + 1%). Every screen is in English, Spanish and Portuguese.
